CALMORA

A back office brain for your business.

CALMORA builds your own virtual operational assistant, connected to the tools and systems you already use. Your B.O.B. (back office brain) takes on the toil so more of your day goes to the work you enjoy.

Today’s brief

Sample brief · 7:15 am
  • 8:30 meeting is prepped

Past emails, the quote and what was promised are on one page.

  • Crew swap recommended

One tech is out. A swap keeps both installs on schedule. Approve or adjust.

  • Install moved: unit is late

Thursday’s equipment lands Friday. Shift to Monday? Customer note drafted, not sent.

  • Overdue invoice reminder ready

INV-2211 is 14 days past due. The reminder is ready to review.

The un-fun stuff
eating your day.

A heat pump install, a service call, remodeling a kitchen, or a third retail storefront. That’s the fun part. The toil looks the same across businesses: the work you’re good at and enjoy gets done, and the un-fun, critical stuff piles up until it’s too big to ignore.

B.O.B. stands for back office brain. It reads your inbox, your files and your calendar, keeps track of what’s moving, and hands you a short morning brief with the work prepared for you to decide.

How it works.
Build it. Tune it. Add to it.

We build the foundation once, keep it running and tuned every month, and add modules as you ask for them. Three parts, each priced on its own, designed so the monthly cost comes down as the system settles in.

01One-time build

Build the foundation

A back office brain (B.O.B.) on your computer or in the cloud that you text, talk or type with. Wired into your inbox, your files and your calendar. It sends you, and anyone else who runs the place, a morning brief that gets better as you give it feedback.

02Managed monthly

Keep it tuned

We keep the foundation healthy and dial it in as it learns your business. The brief gets sharper as it learns what you act on and what you skip. Someone owns the moving parts so you don’t have to.

03Build as you go

Add specialists, one pain or idea at a time

Modules get added to your back office brain in the order you choose, each scoped on its own. Estimating and quotes. Job costing. Permit management. Restocking. Accounting. Customer records. Whatever gives you back hours.

What it costs

Priced as an initial setup project plus a monthly retainer, not as a per-seat app. We share the starting figure in the first conversation, based on how complex your business is.

What this could look like
in your business.

Two illustrative businesses, drawn from the kind of work we do. Each example is sample data you can click through.

A day in a home-services business.

A tech calls in sick. A unit ships late. A permit lands early. Every one of those changes touches the schedule, a customer and a crew. Here is the morning brief that catches them.

Flip the day’s surprises on and off and watch the recommendations change. Nothing is sent or moved without you.

A kitchen remodel, estimated three ways.

Small, medium or large, the approach changes the materials, your labor hours, the subcontractors you need and how long the project takes. Your B.O.B. pulls material pricing from your suppliers’ quotes and price sheets, estimates labor and subcontractor costs from your previous jobs, and drafts a schedule from your written and spoken notes. It gets better with your feedback. Nothing goes out without your approval; the research and the first draft just get done faster.

Both examples use sample data. Modules like estimating, scheduling and accounting are scoped separately around your tools and your process.

Good morning. Here’s your day.

  1. 01Your first meeting is at 9:00. The last emails and notes with that customer are on one page.
  2. 02Yesterday’s customer question is answered in a draft, ready for you to send.
  3. 03One schedule change this week affects two other jobs. The recommended adjustment is ready to review.
  4. 04One invoice is past due. The reminder is drafted, not sent.

Let’s talk about your morning

Built around your business.
Under your control.

You own and control your data, your accounts, your infrastructure and the configuration we build for you. We document it so another competent provider could take over if you ever chose to.

The reusable technology underneath stays with its owners under a durable license. Third-party services keep their own terms.

Do I have to replace the tools I already use?

No. We start with the tools you have. During scoping we check which connections are practical and what access they need, and the build follows that.

What does the first build include?

The foundation: a back office brain connected to your inbox, your files and your calendar, plus a morning brief for you and anyone else who runs the place. It is documented simply enough that another competent provider could pick it up.

Does B.O.B. act without asking?

We agree which actions can run on their own and which need your review. Everything on this site shows work prepared for you to decide: recommended schedule changes, drafted replies, reminders ready to send. Nothing is sent, moved or posted to the books on its own.

Is this only for contractors and home-service businesses?

No. The examples here come from the trades because that is where our early work is. The same foundation fits any small business with an inbox, a calendar, files and follow-up to keep on top of: a retailer, a practice, a firm.

What does it cost?

Three parts. A one-time build for the foundation, a monthly fee to keep it running and tuned, and modules scoped and priced separately as you add them. It is priced as a project plus a monthly retainer, not as a per-seat app subscription. We share the starting figure in the first conversation.

Who owns what?

You own and control your data, your accounts, your infrastructure and the configuration we build for you, with documentation so another provider could take over if you chose. The reusable technology underneath stays with its owners under a durable license. Third-party services keep their own terms.

Let’s talk about what’s eating your time.

A conversation, not a pitch. Tell us about the work that drains your week and the work you’d rather be doing. Bring one example: the estimate that takes an evening, the schedule you rebuild every Monday, the invoices you chase at night.

Half an hour is enough to sketch what your first build would read, what it would draft, and what your first morning brief would say.
